Payment policy

• An initial confirmation deposit of ₹25,000 per person must be paid at the time of booking.
•The balance payment must be cleared on or before 15 November 2026.
• Air tickets will be issued only after receipt of the required payment and complete passenger details.
• A booking will be treated as confirmed only after the confirmation deposit has been received.
• Any increase in airfare, airport taxes, fuel surcharge or government levy before ticket issuance will be charged additionally.
• Failure to make the balance payment by the due date may result in cancellation of the booking, with the applicable cancellation charges.

Airline passenger-name policy

• Full passenger names must be submitted exactly as printed on a valid government-issued photo identity document.
• Passenger details must be submitted on or before 15 November 2026.
• Spelling errors, incomplete names or differences between the ticket and identity document may lead to denial of boarding.
• Name changes after ticket issuance are subject to airline rules, availability and additional charges.
• Some group-fare tickets may not permit a name change.
• Every passenger must carry an original, valid government-issued photo identity document during the journey

Cancellation policy
 

• The airfare component becomes non-refundable once the tickets have been issued.
• Airline cancellation and name-change charges will apply separately according to the airline's rules.
• No refund will be given for any unused accommodation, meal, transfer, sightseeing or other service.
• Cancellation requests must be submitted in writing.
• The cancellation date will be calculated from the date on which the written request is received.
• Refunds, where applicable, will be processed after deducting airline, hotel, supplier, administrative and cancellation charges

Child polic​y

• Child With Bed pricing applies to children aged 8 years to below 12 years as of 13 January 2027.
• Child Without Bed pricing applies to children aged 2 years to below 8 years as of 13 January 2027.
• A Child Without Bed booking does not include a separate bed, mattress or rollaway bed.
• A child booked under the Child Without Bed category must share the existing bed with the accompanying parents or guardians.
• A child requiring a separate bed must be booked under the Child With Bed category, regardless of age, subject to hotel policy.
• Children aged 12 years and above will be charged the applicable adult rate.
• Infant charges for children below two years will be advised separately.
• A valid government-issued age proof must be carried for every child.
• If the child's age declared at booking differs from the age shown on the identity document, the applicable fare difference must be paid before travel or directly at the destination.
• Hotel and airline child-age policies may differ. Where a supplier's policy results in an additional charge, the difference will be payable by the guest.

Rooming and triple-occupancy polic​y

• Double occupancy means two guests sharing one room.
• Triple occupancy means three guests sharing one room.
• Triple occupancy may include one double bed with an additional mattress or rollaway bed.
• A full-sized third bed is not guaranteed.
• Room size, bed configuration and availability of extra beds vary between hotels.
• Child Without Bed does not include a separate mattress or extra bed.
• Adjoining rooms, interconnected rooms, specific floors and specific views are subject to availability and cannot be guaranteed.
•Standard hotel check-in and check-out timings will apply.
• Early check-in and late check-out are subject to availability and additional charges.

Important notes

• The departure is planned for a group of 20 guests.
• The tour will operate subject to the required minimum number of paying participants.
• The order of sightseeing may change for operational reasons without reducing the overall inclusions.
• Nathula Pass is subject to permit approval and cannot be guaranteed.
• Guests must provide the documents required for permits within the prescribed deadline.
• Tsomgo Lake, Baba Mandir and Nathula Pass may be inaccessible because of snow, road closure, weather, security restrictions or government orders.
• Snowfall or snow cover is a natural occurrence and is not guaranteed.
• Tiger Hill sunrise visibility depends entirely on weather conditions.
• Toy Train tickets are subject to Indian Railways availability and operations.
• Flight timings and schedules are subject to airline changes.
•Winter weather, fog and road conditions may result in delays or itinerary adjustments.
• Room heater charges are included; heater availability remains subject to the hotel.
• Guests should carry adequate winter clothing, comfortable walking shoes and personal medication
• The organiser reserves the right to replace a hotel, vehicle or service with a similar alternative when operationally necessary.
• No refund will apply when an included sightseeing point cannot be visited because of circumstances beyond the organiser's control and a reasonable alternative is provided

Force Majeure

The organiser will not be responsible for delays, changes, additional expenses or service cancellations caused by weather, snowfall, landslides, roadblocks, flight disruption, natural calamities, political disturbance, government restrictions, permit denial, strikes or other circumstances beyond its reasonable control. Any additional expense arising from such circumstances will be payable by the guest.
